Etsy Shipping Profiles for Print-on-Demand: Times and Rates

For print-on-demand, your Etsy processing time has to cover your provider’s production time plus any order-approval delay, and your shipping profile has to say where the item really ships from and how long delivery takes. With Printify, most orders ship within 2–7 business days of going to production, and US Standard delivery takes 2–5 business days after dispatch.

Get those numbers right and Etsy shows buyers honest delivery dates, your on-time rate stays healthy and late-order cases mostly disappear. This guide covers Printify’s real timings, processing profiles, the free-shipping math, Etsy’s under-$6 search rule, international buyers, multiple providers and the fourth-quarter rush.

How long does Printify take to ship?

Printify splits delivery into two stages: production, when the print partner makes and packs the item, and shipping, when the carrier delivers it. Its help center gives these averages at the time of writing, and its shipping options page has the current version:

Production time varies by partner and product. When you choose a print partner in Printify’s catalog, you can see its average fulfillment time for that product over the last 30 days, and once an order is in production the Orders tab shows an estimated ship-by date. Orders of 12 or more items, out-of-stock blanks and quality-check reprints take longer, and holidays slow everything down. Printify suggests contacting support if an order hasn’t shipped within 7 business days. Speed is worth weighing alongside price when you choose a Printify print provider.

Processing time vs shipping time on Etsy

Etsy keeps the two halves of delivery in separate settings:

• Processing profiles hold your processing time (how long until the order is handed to a carrier) and a made-to-order or ready-to-ship label that buyers don’t see. You can set them per listing or per variation.
• Shipping profiles hold where the item ships from, the shipping services, your prices and the countries you ship to. Each listing uses exactly one shipping profile.

Etsy combines your processing time, the carrier’s transit time and its own historical data into the estimated delivery date buyers see. Processing starts the day after purchase, the end of it is your “ship by” date, and your order processing schedule decides whether weekends count. For a POD shop, the order counts as shipped when your provider’s tracking reaches Etsy, and it has to do so by 11:59 pm on the ship-by date in your shop’s time zone.

These settings matter beyond the delivery date. Processing time decides when a buyer can open a case and when they can leave a review, and at least 80% of your orders must ship on time to meet Etsy’s customer service standard (Star Sellers need 95%, with tracking). How to set processing times for print on demand

Work your processing time out from three parts: the delay before an order goes to production (your Printify order approval setting), your partner’s average production time for that product, and a buffer of a day or two.

When Printify publishes to Etsy, it creates processing profiles of typically 3–5 business days. Check them against your partner: with the 24-hour approval default and a partner averaging 4 days, 3–5 days is too tight. Printify also recommends setting your Etsy order processing schedule to Monday–Friday, which matches how print partners work.

To edit a processing profile (Etsy’s processing times article has the app steps too), go to Shop Manager → Shipping settings, find Your processing profiles under Shipping profiles & processing, choose Made to order, set the time and select Save changes. Every listing using that profile updates at once. To switch many listings to a different profile, select them on the Listings page and choose Change processing profile from the Editing options menu. And if you consistently ship faster than your stated time, Etsy may start showing buyers your actual processing times, based on the last 120 days and at least 5 shipped orders.

Free shipping or charged shipping? The build-in math

Etsy charges its transaction and payment processing fees on the item price plus shipping, so where you put the money doesn’t change your fees or your profit. What it changes is search placement. Since October 2024, Etsy has prioritized US listings with domestic shipping under $6 in US search, and free shipping counts. Printify’s summary of the rule lists the exceptions: digital listings, US sellers shipping abroad, sellers outside the US, listings over $35 in shops with a free shipping guarantee, and listings with calculated shipping. Same buyer total, same fees, same profit, but the third listing loses its search priority for 1 cent of shipping. That’s why most POD sellers either offer free shipping or split the cost, keeping the shipping line under $6. Printify recommends free shipping especially for products whose shipping costs more than $6.

Two catches. Printify’s free shipping toggle subtracts the cheapest shipping option you’ve enabled from your profit margin, so recheck prices after you switch it on (our POD pricing guide has the full formula). And extra items in a free-shipping order still cost you Printify’s additional-item shipping, so leave a little room in the price. You can also turn on Etsy’s free shipping guarantee, which gives US buyers free shipping on items or orders of $35 and up.

How Printify’s automatic Etsy shipping profiles work

When you publish from Printify (if your shop isn’t linked yet, start with our guide to connecting Printify to Etsy), you choose which shipping methods to offer and can let Printify “Automatically assign and update profile if needed”. It then attaches a profile per print partner and product type (named something like “Standard: [partner name] – T-Shirts”) with the correct rates. A few rules keep this working:

• US dollars only. If your Etsy shop uses another currency, Printify’s dollar figures arrive as plain numbers: a 4.75 USD rate shows as £4.75 or €4.75. Build your own profiles in your currency instead.
• Fixed prices only. Printify’s Etsy integration doesn’t support profiles set to calculated shipping; choosing one makes publishing fail.
• Edits can be overwritten. Printify won’t undo changes you make to its profiles, but publishing a product with automatic assignment can replace your edits with its latest rates. For custom rates, create your own profiles.
• Rates change. When Printify updates shipping rates, republish affected products with only the Shipping profile box ticked, so nothing else on the listing is overwritten.

To build a profile by hand, as Printify’s help center describes:

1. In Etsy’s Shop Manager, go to Settings → Shipping settings (called Delivery settings in some countries) and create a profile.
2. Name it after the product type and partner, for example “US Tees – Partner A – Free”.
3. Set the ship-from country and the origin ZIP code you’ll find on a Printify-generated profile for that partner.
4. Choose the shipping service “Other” and enter a delivery time based on Printify’s rates, or pick the service closest to it.
5. Choose free shipping or a fixed price, add the countries you ship to, and save.

Profiles for multiple providers and locations

Each Etsy listing can use only one shipping profile, and Etsy’s advice for sellers who ship from several places is simple: one profile per location, linked to the listings that ship from there. Etsy’s Creativity Standards also require POD listings to show accurately where items are dispatched from, which is part of setting up your Etsy production partner properly.

A tidy setup is one profile per location and cost band: US tees, US hoodies, US mugs, and a separate profile for anything a UK or EU partner makes. Keep each listing with one provider. If you use Printify’s Multi-Product Listings to sell, say, a tee and a hoodie in one listing, remember that Etsy applies the shipping methods of the first product to the whole listing, so enable the same methods on every product or use free shipping with the costs built in.

International shipping profiles for POD

From a US print partner, Printify’s international Standard shipping averages 10–30 business days, so set international delivery times honestly or limit where you ship. Many Etsy buyers only see listings that ship to their country, so choose deliberately: ship everywhere with realistic times, list specific countries with their own rates, or remove “Everywhere else”. If you offer free domestic shipping through Printify, it subtracts the domestic cost from its international rates to keep the totals fair.

Local production shortens those times. Gelato routes orders to partners near the buyer (in 32 countries at the time of writing), and Printify’s optional Order Routing can send a single-item international order to a closer partner when one is available. Sellers outside the US have one more reason to print US orders in the US: the US ended its de minimis exemption in August 2025, and Etsy now requires duties to be prepaid on orders shipped into the US for them to qualify for its Purchase Protection. Q4: holiday delays and cut-off dates

Production times rise in peak season, and carriers set holiday cut-offs of their own. Printify publishes a Network Fulfillment Status page, updated daily, that shows current delays across its partners, and Etsy’s Help Center keeps a page of carrier holiday cut-off dates, updated as carriers announce them.

1. From mid-November, add 2–3 days to your processing profiles. One edit updates every listing that uses them.
2. Work out your last order date for Christmas delivery (provider cut-off plus transit) and put it in your shop announcement and descriptions.
3. Switch your processing times back in January.
4. If a single order runs late, you can extend its ship-by date once, before it passes, by up to 21 days. Check with the buyer first.

What happens when a POD order arrives late

On Etsy, a package that arrives anywhere inside the estimated delivery range counts as on time, and if you shipped by the ship-by date with valid proof, Etsy says you won’t be held responsible for carrier delays. Printify adds tracking to your Etsy order automatically when the order reaches “Ready to ship”, which also sends the buyer a shipping notification.

• Cases: a buyer can only open one after messaging you and after the delivery estimate or ship-by date has passed. Under Etsy’s standard, a shop with fewer than 300 orders should have no more than 3 cases refunded from its account.
• Reviews: with fewer than 40 reviews, no more than 4 should be 3 stars or below. Etsy can sometimes remove reviews about things outside your control, such as a carrier delay.
• What to do: message the buyer as soon as an order stalls, explain what’s happening and offer a choice: wait, a reprint or a refund.
