Print-on-Demand in the UK: Providers, Fees, Tax and Shipping

Print on demand in the UK: which providers print locally, Etsy UK fees in pounds with a worked example, HMRC basics, and selling to US and EU buyers in 2026.

Folded printed t-shirts, a framed seaside print and a teapot by a rainy window overlooking green hills and a lighthouse.

Print-on-demand works well from the UK. Printify, Printful, Gelato and Prodigi all print in the UK, Etsy is open to UK sellers, and you can still reach US and EU buyers by having their orders printed closer to them. What’s different for UK sellers is the money and the paperwork: Etsy’s UK fees, VAT on those fees, HMRC’s rules and the new cost of posting parcels abroad.

This guide covers which print-on-demand companies print in the UK, Etsy’s UK fees with a worked example in pounds, selling to US and EU buyers, HMRC basics and UK consumer rules, all as of September 2026.

Key takeaways

  • Printify, Printful, Gelato and Prodigi all have UK production; Prodigi is UK-headquartered and strong in wall art.
  • Etsy UK fees: $0.20 per listing (about 15p), 6.5% transaction, 4% + £0.20 processing and a 0.48% regulatory operating fee, plus 20% VAT on fees if you’re not VAT-registered.
  • On an illustrative £22 tee with free UK delivery, you keep about £6.18 after the product, delivery and Etsy’s fees.
  • For US and EU buyers, print locally: US duty-free de minimis is suspended, and the EU now charges a €3 customs duty per item type on small parcels.
  • HMRC: once gross trading income passes £1,000 in a tax year, register for Self Assessment by 5 October after that tax year ends.

Which print-on-demand companies print in the UK?

There’s no single best print-on-demand company in the UK. All four of the big options print here; they differ in how they route orders and what they’re best at.

Printify is a marketplace of independent print partners, and its catalog lets you filter by where products are made, so you can pick UK partners for UK buyers. For eligible Etsy and Shopify listings, Printify Choice Global Fulfillment goes further: it picks a local partner for buyers in the UK, US, Canada, Australia and the EU, and shows them local delivery rates. The trade-off is that you don’t choose the partner, so quality can vary more.

Printful runs its own facilities. Its Wolverhampton site only fulfills orders going to UK addresses, and EU orders are typically made at its facilities in Latvia or Spain. Base prices are higher, but quality is more consistent, and branding options such as custom inside labels are available.

Gelato sends each order to a production partner near the buyer, across 32 countries including the UK, and its free plan allows up to two connected stores. It’s a natural fit if a lot of your buyers live abroad. Our Gelato review and Printify vs Gelato comparison go deeper.

Prodigi is headquartered in Great Britain, with offices in London, Cardiff, Harrogate and Alton, and specializes in giclée fine art printing and dye sublimation. On Etsy it works the other way round from Printify: you create listings on Etsy first, then import them into Prodigi and set them to fulfill automatically. If wall art is your focus, read our Prodigi review first.

Etsy fees for UK sellers, in pounds

UK sellers pay the same core fees as everyone else, plus a few UK-specific lines. Here’s the full list at the time of writing:

FeeUK rate (September 2026)Charged on
Listing fee$0.20, converted (about 15p)Each listing; renews on each sale and every 4 months

Check Etsy’s Fees & Payments Policy for current UK rates before you set prices.

The regulatory operating fee rose from 0.32% to 0.48% on 22 June 2026, which Etsy put down to the rising cost of UK regulation. It’s small per order (about 11p on a £22 tee), but it applies to every sale.

VAT is the line that catches people out. If you’re not VAT-registered, Etsy adds 20% VAT to its fees and you can’t reclaim it, so treat it as part of the fee. If you register for VAT and give Etsy your VAT number, Etsy stops adding VAT to its fees and you account for it on your own VAT return under the reverse charge.

One easy saving: list in pounds if your bank account is in pounds, to avoid the 2.5% conversion fee. Etsy shows overseas buyers an approximate price in their own currency anyway. For how each fee works in detail, see Etsy fees explained.

Worked example: one £22 tee with free UK delivery

LineRegular saleSale from an Offsite Ad (15%)
Buyer pays (free delivery)£22.00£22.00
Listing fee ($0.20)−£0.15−£0.15
Transaction fee (6.5%)−£1.43−£1.43
Payment processing (4% + £0.20)−£1.08−£1.08
Regulatory operating fee (0.48%)−£0.11−£0.11
Offsite Ads fee (15%)£0.00−£3.30
VAT on Etsy’s fees (20%)−£0.55−£1.21
Tee from a UK print partner (illustrative)−£9.00−£9.00
UK delivery (illustrative)−£3.50−£3.50
Profit per sale≈ £6.18≈ £2.22

Illustrative: a UK seller who isn’t VAT-registered, a UK buyer, and a GBP listing and bank account. Product and delivery costs vary by partner.

With the same costs, the tee earns about £4.44 at £20 and £7.91 at £24. As in the US, your print partner is the biggest cost and your price is the biggest lever, so a design that feels made for a specific buyer is what lets you charge the higher number.

Selling to US buyers from the UK

Etsy shows your listings to buyers worldwide, and many of them are in the US, so it’s worth being ready for US orders from the start.

  • Print US orders in the US. The US suspended duty-free entry for low-value parcels in August 2025, and it remains suspended at the time of writing. A tee posted from the UK can pick up US import duty and carrier charges, and it’s slow. A US print partner avoids both: use Printify Choice Global Fulfillment for eligible listings, Gelato’s local routing, Printful’s US production, or separate listings made with a US partner that ship only to the US.
  • Check your price in dollars. Etsy converts your GBP price for US buyers, so compare what they see with page-one US listings for the same search.
  • Build delivery into the price. Etsy’s US search has long favored free shipping, so free delivery with the cost built in is the norm for POD.
  • Let Etsy handle US sales tax. Etsy collects and remits sales tax on orders to US states where it’s required, so for Etsy sales you normally don’t need to deal with it yourself.

Selling to EU buyers: VAT, the new €3 duty and GPSR

VAT. For orders to EU buyers of up to €150, Etsy collects EU VAT at checkout under the EU’s Import One-Stop Shop (IOSS), so the buyer shouldn’t be charged VAT again on delivery.

The new €3 customs duty. From 1 July 2026 until 1 July 2028, the EU charges a temporary flat €3 customs duty on low-value parcels (up to €150) coming from outside the EU. It’s charged per item type, not per item: five tees in one parcel attract €3, while tees plus a mug attract €6. According to the European Commission, the seller or importer is responsible for declaring and paying it. Printing EU orders inside the EU (Printful’s facilities in Latvia and Spain, Gelato’s local partners, or Printify’s EU partners) avoids it.

GPSR. Since 13 December 2024, the EU’s General Product Safety Regulation has required products sold to EU consumers to have an EU-based responsible person and product safety information, among other things. Our guide to GPSR for Etsy and POD sellers explains what that means for your listings.

HMRC basics for UK print-on-demand sellers

  • The £1,000 trading allowance. If your gross trading income is £1,000 or less in a tax year (6 April to 5 April), you usually don’t need to tell HMRC. Above that, you need to register for Self Assessment.
  • It’s sales, not profit. For a POD seller this bites early: £1,200 of sales with £900 of costs is still over the allowance. You can then deduct either your actual expenses or the £1,000 allowance, whichever suits you better.
  • The registration deadline. Register by 5 October after the end of the tax year in which you started. If you started selling in the 2025–26 tax year, that’s 5 October 2026.
  • Etsy reports sellers to HMRC. Under the digital platform reporting rules, platforms share details of sellers with 30 or more sales of goods, or more than about £1,700 (€2,000) of sales, in a calendar year. Reporting doesn’t create a new tax; it helps HMRC check that income is declared. HMRC explains when you need to tell it about online platform income.
  • Making Tax Digital. Since April 2026, sole traders with qualifying income over £50,000 must keep digital records and send quarterly updates. The threshold drops to £30,000 from April 2027 and £20,000 from April 2028.
  • VAT registration becomes compulsory once your taxable turnover passes £90,000 in any rolling 12 months.
  • Records. Keep sales, Etsy fees (including VAT on fees), provider charges, samples and tools from day one. A monthly spreadsheet is enough to start.

UK consumer rules and returns

UK buyers can usually cancel an online purchase within 14 days of delivery under the Consumer Contracts Regulations, then have 14 days to send the item back. Two details matter for POD:

  • Made to order isn’t the same as personalized. A standard design printed in the buyer’s chosen size and color can generally still be cancelled. The exemption covers items made to the buyer’s own specifications or clearly personalized, such as a name or date.
  • Your provider usually won’t take unwanted items back, so change-of-mind returns are your cost. You can ask buyers to pay return postage if your policy tells them so before they buy.

Faulty and misprinted items are different: providers generally reprint or refund their own production errors when you report them promptly with photos. Our guide to print-on-demand returns and misprints has message templates. This is general information, not legal advice.

UK dates that differ from the US

  • Mothering Sunday is 7 March 2027, two months before US Mother’s Day (9 May 2027), so UK mum designs need to be live by early February.
  • Father’s Day is 20 June 2027 in both the UK and the US.
  • Black Friday (27 November 2026) is a big shopping day in the UK too, and Christmas orders need production time plus delivery, so publish your last-order dates early.

The print-on-demand seasonal calendar lists listing windows for every major date, including the UK ones.
