Print-on-demand providers don’t take returns for the wrong size or a change of mind. When the problem is theirs (a misprint, a damaged or wrong item, or a lost package), Printify and Printful reprint or refund at their cost, as long as you report it within 30 days of delivery, with photos of anything that arrived damaged or wrong. Everything else is your decision and your cost, within your shop policy and the buyer’s legal rights.

Printify’s reprint and refund rules (2026)
Printify offers a free reprint or a refund when a product arrives damaged or with a manufacturing error. At the time of writing, you have to report it within 30 days of the delivery date (or the estimated delivery date), and the buyer doesn’t need to send anything back.
To file, open the order in Printify, click Submit issue on the affected product, choose Request reprint or Request refund, pick the issue type and add a short description. You can upload up to five photos or videos. The evidence Printify asks for depends on the problem:

Printify’s documentation requirements at the time of writing. Tolerances apply: 0.5 in for print placement on DTG, DTF, embroidery and all-over print, and about 1 in on most adult garment sizes.

What happens next, and what isn’t covered:
- Refunds go to your Printify balance, which you can withdraw. A reprint is a new order with a new order ID and tracking number, and standard production times apply.
- Lost packages: Printify’s reprint policy treats an order as lost if it hasn’t been delivered within 30 calendar days (domestic US or regional EU orders) or 45 days (international), and asks you to report it within a week after that. Before you file, confirm the address and have the buyer check with their local post office.
- Not covered: an incorrect or incomplete address, a buyer who wants a different size or color, size differences under an inch, and low-quality prints caused by a low-resolution or unsuitable design file.
- Not defects: a faint smell or visible pre-treatment residue on new DTG garments (both usually disappear after the first wash), and embroidery simplifying fine details, small text and gradients.
Printful’s return policy
Printful’s rules are similar. It doesn’t accept returns or exchanges for buyer’s remorse, wrong sizes or wrong colors. If an order arrives damaged, defective or misprinted (wrong placement, colors or item), or a package is lost, you can request a free reshipment or a refund, with no need to send the item back.
- Window: report quality issues and lost packages within 30 days of the delivery date, or the estimated delivery date for packages that never arrived. Late claims can’t be honored.
- Evidence: a clear photo of the affected product, plus one photo of all items together if several with the same design are affected.
- Wrong address entered by the buyer: a reshipment can be arranged, but you pay the reshipping cost.
- Refunds go to your Printful Wallet by default.
- Returned parcels: Printful emails you when a parcel comes back (for example, from a bad address). If you don’t claim it within 30 days, it’s donated to charity.
- Return address: by default, returns go to the Printful facility that made the order. You can set your own US address (not a PO box), but then you handle the returns, and parcels shipped with DHL, UPS or FedEx still go back to Printful.

Gelato, Prodigi and custom return addresses
Gelato, Prodigi and other providers set their own claim windows, evidence rules and return addresses, so read your provider’s current returns page before you write your shop policy. Return addresses matter if you accept returns: Printify sends undeliverable parcels to an unbranded Printify or print-partner facility by default, and a custom return address (under Store settings) only works for UK, German and US domestic addresses with print partners that support it. How to set your Etsy return policy for POD
If you sell from outside the EU, Etsy requires a return policy on every physical listing, even if the policy is “no returns or exchanges,” and listings without one may appear lower in search. To set one:
- Go to Shop Manager → Settings → Policy settings → Returns and exchanges.
- Select Create policy and tick whether you accept returns, exchanges, both or neither.
- If you accept them, choose the time frame from the dropdown, then save and apply the policy.
- To update many listings at once, select them in Listings, then Editing options → Change return & exchange policies.
Etsy’s simple policy template accepts returns and exchanges within 30 days of delivery, with the buyer paying return shipping. That doesn’t match how POD providers work, since they won’t take items back or refund you for a change of mind. A policy aligned with your provider looks more like this:
The 14-day reporting request gives you time to file with your provider inside its 30-day window. UK and EU buyers: the 14-day right to cancel
Consumer law in the UK and EU gives buyers who shop online from a business the right to cancel without giving a reason. Etsy states that sellers who transact with buyers in the EU or UK must comply with local consumer protection rules, so this can apply to US-based shops too. In short:
- Timing: the buyer has 14 days from delivery to tell you they’re cancelling, then another 14 days to send the item back.
- Refund: within 14 days of getting the item back, or proof that it was sent. It must include the item price and the original standard delivery charge.
- Return postage: the buyer pays, as long as you told them before they bought. If you don’t tell buyers about their right to cancel at all, the cancellation period can stretch to 12 months.
- Exemption: goods that are clearly personalized or made to the buyer’s specifications, such as a shirt with their pet’s name. See the UK government’s guidance on accepting returns and giving refunds and the EU’s Your Europe page on returns.
Since early July 2026, EU buyers on Etsy can submit a withdrawal request as part of a Help with order request. You then review it and, if it’s valid, refund within 14 days, including the item price and standard shipping; you can wait for the item or proof of return before refunding. Faulty goods are a separate right: in the UK, buyers can reject faulty goods for a full refund within 30 days, and in the EU the seller pays to return defective products.

Etsy cases and Purchase Protection
On Etsy, a buyer with a problem first sends you a Help with order request. They can open a case once the estimated delivery date has passed and 48 hours after contacting you, and they have 30 days from the estimated delivery date to do it. Reviews can come for longer: buyers have 100 days from the estimated delivery date to leave one.
Etsy’s Purchase Protection program can cover up to $250 of a refund on eligible orders: parcels that never arrive, arrive seven or more days after the estimated delivery window, arrive damaged (the first time in a calendar year) or match the listing when the buyer says they don’t. To qualify, you have to ship within your processing time, provide valid tracking, show an estimated delivery date that includes transit time, describe the item accurately and reply to Help with order messages within 48 hours.

Stop the problems providers won’t cover

- Reply the same day. Apologize, say you’ll make it right, and ask for the photos your provider needs (see the table above).
- Check the order. Confirm what the buyer ordered and whether your file was print-ready.
- File the claim. Choose a reprint if the buyer still wants the item, or a refund if they’d rather have their money back. Stay inside the 30-day window.
- Tell the buyer what happens next, with a realistic timeline for the reprint.
- Close the loop on Etsy. Issue any refund through Etsy, or send the new tracking number in a message when the replacement ships.
- Log it. Note the provider, print partner, product and problem. If one partner keeps making the same mistake, move that product to another.

3. Wrong size (US shop with a no-returns policy)
Hi [first name], thanks for letting me know. Each item is printed to order, so I can’t take returns for size, as the listing mentions. I’d still love you to have one that fits, so I can make the [size] for you at [discount] off. Just reply with the size and I’ll set it up.
4. UK or EU cancellation
Hi [first name], I’ve received your cancellation request. Please send the item to [return address] within 14 days. Return postage is [paid by you / covered by me]. I’ll refund the item and the original standard delivery within 14 days of receiving it or your proof of postage.
5. Parcel late or marked delivered but missing
Hi [first name], I’m sorry your order hasn’t turned up. Tracking shows [status]. Could you check with neighbors and your local post office, as parcels are sometimes held there? If it still hasn’t appeared by [date], let me know and I’ll sort out the next step with you.
How to prevent most returns and misprints
- Show real size charts. Use your provider’s measurements, say clearly whether the fit is unisex, and tell buyers how to measure a shirt they already own.
- Use accurate mockups. Show the design on the actual garment colors you offer, and note that colors can look different on screens and on heathered fabric.

- Proof personalized orders and paste the buyer’s text rather than retyping it.
- Keep an approval delay. Printify can send orders to production manually, after one hour, after 24 hours (the default) or once a day, and that delay gives you time to fix an address or cancel.
- Order samples of your best sellers before you scale.
